Terms of Service

The terms and conditions governing the use of our services

Introduction

These Terms of Service ("Terms") govern your use of transcribebee.com and the transcription services we provide ("the Service"). By creating an account or submitting a transcription order, you agree to be bound by these Terms.

The Service

TranscribeBee converts audio and video files you upload into written transcripts. The Service is provided "as is" and "as available". We do not guarantee that it will be uninterrupted, secure, or error-free, and we do not guarantee any specific accuracy level — transcription quality depends on the audio quality and language of the source.

User Accounts

You must provide accurate and complete information when creating an account, keep your credentials secure, and you are responsible for all activity under your account. You must be at least 13 years old (16 in the EEA) to use the Service.

Billing — Pay-Per-Use, No Subscription

The Service is strictly pay-per-use. There is no recurring subscription, no monthly minimum, and nothing to cancel.

  • You are charged at the moment you confirm an order, before transcription begins.
  • Pricing is calculated from the file's detected duration, billed at the rates shown on the Pricing page.
  • There is no automatic renewal, no scheduled recurring charge, and no auto-debit on file.
  • You do not need to "cancel" anything to stop being billed — simply stop submitting orders. Your account can remain dormant at no cost.

Payments are processed by Dodo Payments, our PCI-compliant Merchant of Record. Receipts are issued automatically after each successful order.

Refunds

Our full Refund Policy is published on the Pricing page. In summary:

  • Automatic full refund when a transcription technically fails (engine error, timeout, internal failure). The refund is triggered the moment the order is marked failed, with no action needed on your side. Funds usually appear on your statement within 5–10 business days, depending on your card issuer.
  • Successful transcriptions are non-refundable. Once your transcript is delivered (the .txt / .srt / .docx files appear in your account), the order is considered fulfilled.
  • Quality concerns are reviewed case-by-case. If a transcript completes but the output is severely below expectations (e.g., mostly garbled, wrong language detected, audio was mostly silence), email us within 7 days of delivery with your order ID and we will review manually.

We aim to respond to refund and support inquiries within 1 business day, and in all cases within 3 business days.

User Content and Files

You retain all rights to any audio, video, transcripts, and other content you submit through the Service. You confirm that you have the legal right to upload and transcribe each file you submit.

By submitting content, you grant us a limited, worldwide, non-exclusive, royalty-free license to host, transmit, process and display that content solely for the purpose of operating the Service for you — that is, storing the file, sending its audio to our speech-to-text sub-processor, returning the transcript, and supporting your account.

We do not use your audio, video, or transcripts to train any machine-learning model — ours or any third party's. Our sub-processors are contractually configured the same way. See the Privacy Policy for how files are stored, processed, and deleted.

Prohibited Activities

You agree not to use the Service to:

  • Upload content you do not have the legal right to transcribe.
  • Violate any applicable law, regulation, or third-party right (including copyright, privacy, and wiretapping laws).
  • Upload malware or content designed to harm our systems or other users.
  • Attempt to gain unauthorized access to our servers, networks, or other users' accounts.
  • Disrupt, abuse, or overload the Service, including scripted bulk abuse of free credits or trial features.

We may suspend or terminate an account that violates these rules without refund for completed orders.

Intellectual Property

The TranscribeBee website, brand, code, and original content are owned by us and protected by copyright, trademark, and other laws. The license you grant us covers only your submitted content, as described above.

Service Availability and Changes

We may change, suspend, or discontinue parts of the Service. We aim to give reasonable notice for material changes that affect paying users. If we discontinue the Service entirely, we will stop accepting new orders and honor refund obligations for in-flight orders.

Termination

You may stop using the Service at any time and request account deletion from the dashboard or by email. We may terminate or suspend access if you materially breach these Terms. Termination does not affect refund obligations for orders that have already failed under the Refund Policy.

Limitation of Liability

To the maximum extent permitted by law, TranscribeBee is not liable for indirect, incidental, special, consequential, or punitive damages, or for any loss of profits, data, or business arising from your use of or inability to use the Service. Our total liability for any claim is limited to the amount you paid us for the order(s) that gave rise to the claim.

Governing Law

These Terms are governed by the laws applicable to TranscribeBee's place of operation, without regard to conflict-of-law principles. Mandatory consumer-protection laws of your country of residence still apply where they cannot be excluded by contract.

Changes to Terms

We may modify these Terms. Material changes will be reflected by updating the date field above. Continued use of the Service after a change means you accept the updated Terms.
