Privacy Policy

Our commitment to protecting your privacy and personal data

Introduction

This Privacy Policy explains how TranscribeBee ("we", "us") collects, uses, stores, and shares information when you use transcribebee.com and our transcription service. It is written specifically for what this product actually does: convert audio and video files you upload into written transcripts. For a plain-English summary, see our Trust page.

Information We Collect

  • Account information: name, email address, and (where you choose social login) the basic profile fields provided by Google.
  • Audio and video files you upload for the purpose of transcription, and the resulting transcripts.
  • Order and billing information: transcription orders, file durations, and payment metadata returned by our payment processor. We do not store full card numbers.
  • Usage data: pages viewed, actions taken in the app, and error/performance logs needed to run the service.
  • Device information: IP address, browser type, and operating system.

How We Handle Audio and Video Files

Audio and video files are the most sensitive information you share with us, so we describe their lifecycle explicitly.

  • In transit: every upload and download happens over HTTPS (TLS).
  • At rest: files are stored encrypted in Cloudflare R2 object storage.
  • Processing: file audio is sent to a third-party speech-recognition provider (see Sub-processors below) for the sole purpose of producing your transcript. It is not used to train any model — ours or the provider's.
  • Default retention: source files and the resulting transcripts are automatically deleted 30 days after the transcription job completes. A daily cleanup job enforces this even if you forget.
  • User-initiated deletion: you can delete any file and its transcript at any time from your dashboard. Deletion removes the file from storage immediately.
  • No human review: no employee listens to your audio or reads your transcripts in the normal course of business. We may access a specific file only when you ask us to (for example, when you open a support ticket about that file).

How We Use Your Information

  • To provide the transcription service you paid for.
  • To send transactional emails (account verification, password reset, order receipts, failure notices).
  • To prevent abuse, debug failures, and improve service reliability.
  • To comply with legal obligations and respond to lawful requests.

We do not sell your personal information, and we do not use your uploaded audio, video, or transcripts to train any model.

Third-Party Sub-processors

We use a small number of vetted third parties to operate the service. Each one is contractually limited to processing data on our behalf for the specific purpose listed below.

This list covers third parties that actually receive your personal data or uploaded content. Standard infrastructure providers (e.g., our application host) that may incidentally process request logs are not listed here.

If you sign in with Google instead of email/password, that is a direct OAuth relationship between you and Google — we only receive the basic profile fields they return after you authorize the sign-in. Google's handling of that authorization is governed by its own privacy policy.

We will update this section when sub-processors change, with the page's date field bumped accordingly.

Bot and Abuse Prevention

To protect our anonymous upload channel from automated abuse, we use Cloudflare Turnstile, a privacy-friendly alternative to traditional CAPTCHAs. When you upload a file without being signed in, Turnstile performs a background check that may collect device and interaction signals — such as your IP address, browser characteristics, and basic interaction data — to confirm you are a human rather than a bot. Turnstile does not ask you to solve image puzzles and is designed not to track you across websites.

Your use of Turnstile is also governed by Cloudflare's Turnstile Privacy Supplementary Terms.

Data Security

We use industry-standard safeguards: TLS in transit, encryption at rest in object storage, scoped database credentials, hashed account passwords, and least-privilege access for operational tooling. No system is perfectly secure, but the surface area is deliberately small.

Your Rights (GDPR, UK GDPR, CCPA)

Depending on where you live, you may have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate or incomplete data.
  • Delete your account and associated data ("right to be forgotten"). You can delete individual files and transcripts yourself from the dashboard at any time; for full account deletion, email us.
  • Export a copy of your data in a portable format.
  • Object to or restrict certain processing.
  • Withdraw consent where processing relies on it.
  • Lodge a complaint with your local data protection authority.

To exercise any of these rights, email support@transcribebee.com from the address on your account. We respond within 30 days, usually much sooner.

International Data Transfers

Our service is hosted in the United States and the European Union via Vercel and Cloudflare R2. By using the service from outside these regions you understand that your data is transferred to and processed in them, under appropriate safeguards.

Children

The service is not intended for children under 13 (or under 16 in the EEA). We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, contact us and we will delete it.

Data Controller and Contact

Changes to This Privacy Policy

We may update this Privacy Policy. Material changes are reflected by updating the date field above and, where appropriate, by emailing registered users. Continued use of the service after an update means you accept the updated policy.
